Lemlist alternatives for small businesses

By Vamshidhar Mangu · Updated August 2026 · 13 min read

Summary

Lemlist restructured its plans in 2026, and most comparison articles still have the old numbers. If you run a company under 50 people and you're looking at Lemlist alternatives for small business use, the reason is almost always the same: the plan with the channels you actually want is priced per seat, and the data you need to fill those channels is metered on top of it.

  • The 2026 change: The Email plan is now $69/month for the whole workspace with unlimited users. Multichannel Expert is still $109 per user per month.
  • The catch: The cheap plan has no LinkedIn, no calling, no WhatsApp, no phone numbers. Those live on the per-seat plan only.
  • Data is metered separately. A verified email costs 5 credits, about 5 cents. A LinkedIn engagement signal starts at 400 credits, about $4.
  • You can't switch plan families. Moving from Email to Multichannel means creating a new team and manually migrating your contacts.
  • 6 alternatives compared: Instantly ($47/mo, email only), Thriwin (multi-channel + execution, starts free), Smartlead ($39/mo sticker, $300-600 real), Apollo.io (275M+ database, credit-based), Reply.io ($89/user multichannel), Woodpecker (~$35/mo, deliverability-focused).
  • The bottom line: Every tool here assumes someone on your team has hours each week to run campaigns. If that assumption is wrong, the tool choice barely matters.

Lemlist is a genuinely good product. It has been around since 2018, it holds a 4.7 rating on G2 across roughly 1,400 reviews, and the personalization work it pioneered - custom images and dynamic landing pages inside a cold email - is still better than what most competitors ship. If you want email, LinkedIn, calls and WhatsApp inside one sequence builder, very few tools do it as cleanly.

So this is not a hit piece. Most of the reasons people search for Lemlist alternatives for small business have nothing to do with Lemlist being bad at what it does. They have to do with how it is priced, and with what happens after you buy it.

Here is the thing nobody tells you when you are comparing cold email tools. The tool is the easy part. Every product on this page can send a sequence. What kills outbound at small companies is that after you pick one, somebody has to build the list, write the copy, warm the domains, watch the replies, and keep doing it every week. At a 200-person company that person is an SDR. At a 12-person company that person is you, and you already have a job.

We have watched this play out with 250+ small businesses. The tool is rarely why outbound fails. Nobody having time to run it is.

Below are six Lemlist alternatives for small business teams, with pricing verified against live pricing pages, real limitations for each, and an honest read on when Lemlist is still the right answer.

How we researched this article

Lemlist, Instantly, Reply.io and Woodpecker pricing was pulled directly from each company's live pricing page in August 2026, plus Lemlist's own help center documentation on its 2026 plan change. Smartlead and Apollo figures, including their real total cost and user review data, come from our own published comparisons of Smartlead and Apollo.io, verified against their live pricing pages in June 2026.

Thriwin is the publisher of this article and is included in the comparison. We've been as honest about our limitations as everyone else's. If you spot an error, contact us and we'll correct it within 48 hours.

5 reasons Lemlist doesn't fit small businesses

1. The plan you want is per seat. The plan that isn't per seat is missing the channels.

Lemlist changed its lineup in 2026, and the change is genuinely good news for some buyers and irrelevant for others. The Email plan is now priced per workspace instead of per user: $69/month monthly, $55/month on annual billing, unlimited users, unlimited senders, capped at 50,000 emails a month. For an email-only team of five, that is a real bargain.

The catch is what the Email plan does not include. No LinkedIn actions. No in-app calling. No WhatsApp. No phone numbers. Those are the exact features that make Lemlist Lemlist, and they only exist on Multichannel Expert, which is $109 per user per month on monthly billing, or $87 on annual.

So the multichannel product people come to Lemlist for is still charged per head, and it goes up every time you hire.

The real math for a 3-person team

You want email plus LinkedIn, so you need Multichannel Expert. Three people on monthly billing is $327/month, or $3,924 a year. On annual billing it drops to $261/month, or $3,132 a year, paid up front.

Add enrichment. Multichannel Expert includes 400 credits per user per month. At 5 credits per verified email, that is 80 verified contacts per person per month. Prospecting for 500 new contacts a month means buying roughly 2,500 extra credits, about $25.

Realistic first-year cost for three people doing modest outbound: $3,400 to $4,200. Thriwin is $100/month, or $1,200 a year, with lead data included and no seat count.

2. The credits expire, and signals are expensive

Lemlist prices data separately from sending, which is fair enough and increasingly standard. Credits cost 1 cent each. A verified email is 5 credits, so about 5 cents. A phone number is 20 credits, about 20 cents. Those rates are reasonable for occasional lookups and expensive if enrichment is your main motion.

Buying signals are where it adds up. A website visit signal is 20 credits. A hiring or job-change signal starts at 100 credits, about $1. Company fundraising is 100 credits. LinkedIn engagement signals start at 400 credits, which is $4 per signal. If signal-based outbound is your plan, model that carefully before you commit.

The recurring complaint in G2 and Capterra reviews is not that credits exist, it is that they reset monthly with no rollover. Outbound at small companies is lumpy. You do a heavy prospecting push, then you go quiet for three weeks because a client project blew up. The months you don't use your credits, you lose them.

3. You cannot switch between the two plan families

This one is buried in the help center and it surprises people. The Email plan and Multichannel Expert cannot be used in the same team, and the switch button is greyed out. If you start on Email and later decide you want LinkedIn, your options are to create a brand new Lemlist team and manually migrate your contacts, companies and unsubscribe lists, or contact support to escalate to their finance team. Either way, a fresh 30-day billing cycle starts immediately.

For a small business, that is a real switching cost hiding inside a tool you already bought.

4. Hitting the send limit pauses your campaigns

On the Email plan, the volume cap is team-wide and counts everything: campaigns, inbox, contact panel. Hit it and active campaigns pause automatically. You get an email and a pop-up at next login offering an upgrade. Upgrading is immediate, but your sending limit resets to zero under the new tier, and downgrades only take effect at the end of the billing period with no pro-rata refund.

Most tools have caps. The thing to watch here is that the pause is automatic and the downgrade is not.

5. It is still software, and software does not run itself

This is the one that actually matters, and it applies to every tool on this page except one.

Lemlist gives you an excellent sequence builder, a 650M+ lead database, deliverability tooling, and AI agents that draft copy. What it does not give you is somebody who logs in on a Tuesday, notices your reply rate dropped, and fixes the subject line. For a founder-led sales motion at a company under 50 people, that gap is the whole game.

1. Instantly

Instantly Cheapest for email volume
Growth $47/month ($37.60 annual): 1,000 contacts, 5,000 emails. Hypergrowth $97/month: 25,000 contacts, 100,000 emails. Light Speed $358/month. Unlimited email accounts and warmup on every tier.

Instantly is the tool most people mean when they say "cold email software." Its whole pitch is unlimited email accounts and unlimited warmup on every paid tier, which matters because the modern deliverability playbook is to spread sending across many mailboxes rather than hammer one.

Where Instantly beats Lemlist

  • Flat pricing. Three SDRs cost the same as one. No per-seat multiplier anywhere.
  • Unlimited sending accounts and warmup on every tier, which Lemlist charges for.
  • Cheaper at entry, much cheaper at volume. $47 versus $109 per user for a team that needs to scale sends.

Where Instantly falls short

  • No native LinkedIn automation at all. If multichannel is why you looked at Lemlist, Instantly does not replace it.
  • Modular pricing hides the real number. The lead database is a separate subscription starting at $47/month and the CRM is another. A working stack is commonly $124-180+/month, not $47.
  • The 1,000-contact cap on Growth is tight. Most teams outgrow it within a quarter.
  • No execution help. Nothing here writes your copy or runs your campaign.
Best for:

Teams sending pure cold email at volume who already have a data source and someone to run campaigns. If you'd describe yourself as "I just need to send emails and track replies," this is the cheapest serious option.

2. Thriwin

3. Smartlead

Smartlead Best for agencies
From $39/month sticker, realistically $94/month (Pro). Four flat plans up to $379/month. Unlimited mailboxes and warmup on every tier. Real all-in cost $300-600/month.

Smartlead is the agency favorite, and it is genuinely best-in-class at one thing: sending cold email at scale with strong deliverability. Unlimited mailboxes and unlimited warmup are included on every tier with no per-inbox fee, which is why agencies love it.

The $39 Base plan is not a real starting point though. It caps at 2,000 leads and 6,000 emails a month, which most users describe as effectively unusable for live operations. Pro at $94/month with 30,000 active leads is where actual work begins.

Where Smartlead beats Lemlist

  • No per-seat pricing anywhere. A 10-person team pays the same as a solo founder.
  • White-label client portals and multi-workspace management, which Lemlist has no real answer for.
  • Deliverability infrastructure is a genuine strength, including inbox rotation and dedicated IP options.

Where Smartlead falls short

  • The real cost is 3-5x the sticker. Google Workspace mailboxes at $7.20 each across 10-20 accounts, sending domains, external email verification at $30-50/month, and the SmartDelivery add-on at $49-599/month put a small team at $300-600/month rather than $94.
  • No lead data at all. There is no contact database in the core plans. You build the list elsewhere and upload it. SmartProspect is a separate add-on and early reviews call it basic next to dedicated data tools.
  • Base locks out the essentials. No API, no webhooks, no CRM integrations, no white-label. Agencies pay $29/month per client workspace below the top plan.
  • Support is the number one complaint. 4.6 on G2 across 306 reviews but only 3.4 on Trustpilot, with roughly half of negative Trustpilot reviews about customer service.
  • Email-only. No LinkedIn, no WhatsApp. SmartDialer is a bolt-on to an email-first product.
Best for:

Lead gen agencies and high-volume senders managing many client inboxes, who already have their own data and cold email expertise. More detail in our Smartlead alternatives comparison.

4. Apollo.io

Apollo.io Best database
Free plan available. Basic $49/user/month, Professional $79, Organization $119 (3-seat minimum), all annual billing. 275M+ contacts. Real spend often $150-400/user/month with credits.

Apollo is a database first and a sending tool second, and that distinction is the whole story. It holds a 4.7 rating on G2 across more than 9,000 reviews, which makes it one of the most reviewed tools in the category. Professional is the first tier with the dialer, and the free tier is more generous than most.

Where Apollo beats Lemlist

  • Raw data volume. 275M+ contacts with industry, revenue, headcount, tech stack and intent filters.
  • A genuinely useful free plan for checking whether your ICP exists at scale before you pay anything.
  • Mature CRM integrations. Native Salesforce and HubSpot sync, deeper than anything else on this list.

Where Apollo falls short

  • The credit system makes costs unpredictable. Emails cost 1 credit each and phone numbers cost 8, so verified mobile numbers burn through an allowance fast. Real spend for small teams doing serious outbound commonly lands at $150-400 per user per month rather than $49.
  • Data accuracy drops for smaller companies. Strong for mid-market and enterprise, but users report 40-45% of records getting deleted after cleanup for small-company and niche-industry contacts. If your ICP is other small businesses, that matters.
  • Per-seat pricing, the same structural problem as Lemlist Multichannel. The Organization 3-seat minimum means a floor of $357/month.
  • Deliverability is a known weak spot, with some users reporting inbox rates as low as 23%.
  • No LinkedIn automation, no WhatsApp. LinkedIn is manual task reminders only.
Best for:

Teams whose bottleneck is finding contacts rather than contacting them, and who have someone with sales ops expertise to run it. More detail in our Apollo.io alternatives comparison.

5. Reply.io

Reply.io Closest multichannel match
Email Volume from $49/user/month annual (1,000 active contacts), scaling to $159 at 10,000. Multichannel $89/user/month annual ($99 monthly), includes 1 LinkedIn account per user. Agency Core from $210/month. Jason AI SDR from $500/month.

Reply.io is the closest structural match to Lemlist on this page. It has been around since 2014, covers email, LinkedIn, calls, SMS and WhatsApp in one conditional sequence builder, and taps a 1B+ contact database.

Where Reply.io beats Lemlist

  • Channel coverage is arguably broader, with SMS and a built-in dialer alongside LinkedIn and WhatsApp.
  • Email Volume gives unlimited users and mailboxes, subject to fair use, so email-first teams of 5+ often pay less than on a per-seat plan.
  • SOC 2 compliance, which matters if you sell into regulated buyers.

Where Reply.io falls short

  • Add-ons stack fast. On Email Volume, LinkedIn automation is $69 per account per month and calls and SMS are $29. True multichannel on that plan gets expensive quickly.
  • Only 50 live data credits per month are included on most plans. Real prospecting means buying packages on top.
  • Interface feels dated and reviewers consistently describe the hybrid pricing structure as confusing.
  • No buying-signal product at the standard tiers, which Lemlist does offer (at 400 credits a pop).
Best for:

Teams that genuinely use four or more channels and want one tool that does all of them competently. If you're currently juggling Instantly for email, a LinkedIn tool, and a dialer, Reply.io consolidates those.

6. Woodpecker

Woodpecker Best deliverability discipline
About $35/month for 500 contacted prospects (roughly $7 per 100), with volume discounts and 33% off annual. Unlimited team members, unlimited email accounts, free warmup and free catch-all verification included.

Woodpecker prices differently from everyone else. You do not pay per user or per email. You pay per contacted prospect. That rewards a focused motion and punishes spraying.

Where Woodpecker beats Lemlist

  • Deliverability discipline is the product's identity. Adaptive sending, human-like randomization, domain audits and bounce protection are built in rather than sold as add-ons.
  • Free email verification, which Smartlead and most others charge for.
  • Genuinely cheap for tight, well-researched lists where you contact a few hundred people a month.

Where Woodpecker falls short

  • The contacted-prospect model punishes big lists. Costs scale directly with how many people you reach, and adding the same prospect to five campaigns counts as five.
  • Hit the limit and campaigns stop sending to new prospects until you upgrade or wait for the reset.
  • Charges for what others include. API, webhooks, MCP and CLI access is a $20/month add-on. LinkedIn is $29/month per connected account. The agency panel is $27/month per active client.
  • No AI calling, no WhatsApp.
Best for:

Teams running small, precise lists where sender reputation matters more than volume. Not ideal if you plan to scale outbound significantly.

When Lemlist is still the right choice

Plenty of the time, honestly. Buy Lemlist if:

  • LinkedIn is your main channel. Native LinkedIn visits, invites, messages and AI voice notes inside the same sequence as email is a real advantage, and nothing on this list matches it except Reply.io.
  • Your team is email-only and larger than three people. The 2026 Email plan at $69/month for unlimited users is very hard to beat. Five people on Instantly Hypergrowth is $97; five people on Lemlist Email is $69.
  • Personalization is your differentiator. Custom images, dynamic landing pages and liquid syntax are best in class and reviewers consistently say so.
  • You want one tool instead of four. Lemlist consolidates database, enrichment, warmup, sending, LinkedIn and calling. Users who love it almost always cite consolidation as the reason.
  • You already have someone to run it. If you have an SDR or a marketer with real hours to give, Lemlist rewards that investment.

Our honest take

Key takeaways from this article

  • Lemlist's 2026 restructure made it cheaper for email-only teams and unchanged for everyone who wants multichannel, which is still $109 per user per month.
  • The Email plan strips out LinkedIn, calling, WhatsApp and phone numbers, and you cannot switch plan families without migrating to a new team manually.
  • Credits reset monthly with no rollover, and LinkedIn engagement signals cost about $4 each.
  • Instantly at $47 and Smartlead at $39 look cheaper for email volume, but Smartlead's real all-in cost is $300-600/month and it ships with no lead data at all.
  • Apollo wins on database size and loses on credits. At 1 credit per email and 8 per phone number, real spend often runs $150-400 per user per month against a $49 sticker.
  • Reply.io matches Lemlist's channel coverage but stacks add-ons, so model the total before comparing headline prices.
  • Every tool here assumes somebody has hours to run campaigns each week. If that assumption is wrong, the tool choice barely matters.

The real question

It is not "which tool is best." It is "who is going to run this."

If you have an SDR or a marketer with real capacity, buy Lemlist for multichannel or Instantly for email volume and let them go. Both are good products and they reward the time you put in.

If your outbound is a founder squeezing it between customer calls, more software is not the answer. Pick something where execution comes with it.

Your first campaign could go live this week.

Lead data included. Email + AI calling + WhatsApp configured with you. No per-seat pricing, no credits expiring at month end, no "figure it out yourself."

No contracts. No credit card required. Cancel anytime.

FAQ

How much does Lemlist cost in 2026?

Lemlist has three plans for new customers. The Email plan is $69/month monthly or $55/month on annual billing, priced per workspace with unlimited users and a 50,000 email monthly cap. Multichannel Expert is $109 per user per month monthly, or $87 on annual billing. Enterprise is custom, annual only, with a five-seat minimum. Enrichment credits are billed separately at 1 cent each.

Is Lemlist good for small businesses?

It depends on which plan you need. For email-only outreach, the $69/month workspace plan with unlimited users is excellent value for a small team. For multichannel, the $109 per user price means a three-person team pays $327/month before data costs, which is steep for a company under 50 people. The bigger issue is that Lemlist is software you still have to operate yourself.

Does Lemlist have a free plan?

Not a permanent one. Lemlist offers a 14-day free trial with full access to the Multichannel plan and no credit card required. After the trial you keep account access but cannot send new campaigns. Apollo and Thriwin both offer ongoing free tiers if you want to test without a deadline.

What is the cheapest Lemlist alternative?

Smartlead at $39/month has the lowest headline price, followed by Woodpecker at roughly $35/month for 500 contacted prospects and Instantly at $47/month. But headline price rarely equals working cost. Smartlead's Base plan caps at 2,000 leads and 6,000 emails and includes no lead data, so a functional setup runs $300-600/month once mailboxes, domains and verification are added. All three are email-focused and none includes LinkedIn automation without add-ons.

Lemlist vs Instantly: which is better for a small team?

If you only send email, Instantly is cheaper at entry and gives unlimited sending accounts and warmup on every tier. If you need LinkedIn, calls or WhatsApp inside the same sequence, Instantly does not do it and Lemlist does. For an email-only team of five or more, Lemlist's $69 workspace plan is now actually the cheaper option.

What is the best Lemlist alternative for a founder doing sales alone?

The honest answer is that the tool matters less than whether anyone runs it. If you are the only person doing outbound and it competes with customer work, look for something that includes execution help rather than more features. That is the gap Thriwin was built for, at $100/month flat with lead data included.
